Hurree X Wavey Ice

How Wavey Ice used Hurree to gain greater visibility across all of their departments in one place whilst saving 5+ hours each week building reports.

Who are Wavey Ice?

Wavey Ice is the UK’s original alcoholic ice pop brand, founded in London in 2014. It all began in a home kitchen as a fun idea to make childhood treats more adult-friendly. However, this nostalgic brand has quickly exploded, with the ice pops now being sold online and in retailers across the UK, as well as having teamed up with some of the industry’s coolest brands and major events.

Alongside their variety of tasty ice pops and cocktails, Wavey Ice sells branded merchandise including their slogan tees, bold socks and classic stickers, all through their online WooCommerce store.

What problems were they trying to solve?

Having recently ramped up their operations, to meet growing demand Wavey Ice have be focused on hiring more staff across various departments. With this success, however, they also started to run into a few issues:

Complicated Traditional Spreadsheets

Like most businesses, before integrating modern software, Wavey Ice had been managing all of their activities on manual spreadsheets.

Everything, from orders to ad performance, was being stored in Google Sheets. This made reporting and strategic planning tedious with teams dedicating 5+ hours each week collecting the most important data.

“Keeping everything on spreadsheets quickly became overcomplicated, making it a challenge any time we wanted to review and analyse our data. There were no clear results or insights and, a lot of the time, we were worried we were missing something.”

Time-consuming Social Media Management

A huge part of Wavey Ice’s marketing is through their social channels. They have built a strong following across Instagram, Facebook and TikTok, leveraging these platforms for ad campaigns, sales, customer communications, collaborations, and more. Analysing their social reports on a weekly basis is a vital part of keeping their content relevant and ensuring they are engaging their followers.

The Wavey Ice social team were frustrated with the poor usability and lack of visibility from their reporting tools. They were constantly bouncing between different apps and tabs to try to analyse performance.

“There was never a clear picture, we were spending too much time just trying to find the metrics we cared about from each channel and, even more time trying to compare this to previous days, weeks or months. We needed a way to pull all our most valuable social metrics into one visible space with clear indication of what was working and what wasn't.”

Scattered Sales Data

Although the team at Wavey Ice were gathering a great deal of sales data from their different tools, they were finding it difficult to quickly assess what was most valuable to them. Particularly with Woo Commerce, their team found the number of reports and metrics overwhelming which meant they were wasting time searching for the information they actually needed.

“Working in a fast-paced and highly competitive industry, spending hours collating reports is unrealistic and unsustainable. We needed easy access to the key metrics to make strategic decisions and remain agile in the market.”

Confused Communication

Whilst the growth of the company has been an exciting time, Wavey Ice has found themselves with a team based remotely across the UK.

With remote working allowing the company to have access to the best talent, the distance between everyone has, of course, made communication more complicated and it can often be challenging to ensure everyone in the business is on the same page.

Wavey Ice were searching for a simple way to share regular updates both at a department and company-wide level, to keep their teams constantly informed and to prevent any data silos from forming.

“Particularly with our teams in sales and production, it was vital that everyone had visibility over inventory and whether there was enough product in stock to meet the growing demand.”

How Hurree solved these issues.

Wavey Ice integrated Hurree into their tech stack and in just a few weeks they were able to solve all of the issues they had been running into and more, while saving each department lead over 5+ hours in reporting each week.

We caught up with Deb's, Wavey Ice’s Social Media Manager to chat about how they were managing things in the past and how things have changed since using Hurree.

Simple Sales Dashboards

“Keeping everything on spreadsheets quickly became overcomplicated, making it a challenge any time we wanted to review and analyse our data. There were no clear results or insights and, a lot of the time, we were worried we were missing something.”

WooCommerce is obviously still a major tool for their team, allowing them to actually manage sales and transactions. However, they found the downfall of the ecommerce platform was its reporting capabilities - an area where Hurree has brought clarity.

When speaking to their team, Wavey Ice mentioned that “net sales, total orders, cancelled orders and total refund value” were the most important to them. They loved how easy it was to add these to their dashboard for “instant visibility” rather than hunting through WooCommerce every day.

Regular Snapshot Updates

A big issue the Wavey Ice team outlined was having the ability to easily share reports and key metrics, both internally and externally. With teams across the UK, they were struggling to keep everyone in the loop and updated at all times. Hurree completely solved this issue.

Team members can now instantly share dashboard snapshots with minimal effort meaning that the flow of information company-wide has become more consistent and clear. “We loved the ease of Hurree snapshots, as consistent reporting and visibility was a real sticking point for us. We now share information quickly and seamlessly without the need for Zipfiles, WeTransfer or Email, we just generate a link and send our reports directly through Slack.”

Hurree snapshots have not only given Wavey Ice visibility but have allowed their team to optimise their strategy and processes, recognising problem areas and potential opportunities straight away.

As well as internally, Wavey Ice use Hurree to send snapshots externally to event organisers, brands and other stakeholders when discussing potential partnerships. Before Hurree, during these early stages, the team felt like it was a “mad dash to pull data together before meetings.” But now, it’s all already populated with the most recent information on their dashboard and can be shared with the click of a button.

One Source of Social Truth

Now using Hurree, Wavey Ice can pick and choose the social metrics they actually track and add them to one visual dashboard. Using the seamless integrations within Hurree, it only took their team a matter of minutes to integrate their favourite tools and set up their social dashboard.

Rather than jumping between platforms, the team at Wavey Ice have two simple dashboards they use daily (one for socials and one for paid ads). These act as their single source of truth, giving them all the information they’ll ever need in the one place.

“Our social dashboards have not only saved us hours of work each month but have actually improved our performance with better insight into follower engagement and trends.”

Capabilities They Never Expected

When Wavey Ice started their Hurree free trial they admitted they were just searching for a simple reporting tool for their marketing department. However, 3 months on they have expanded Hurree into all areas of their business, using it to manage sales, marketing, production and even for presentations.

“We never thought when we first started using Hurree that it would become a vital tool across our entire business but, it has created clarity across all our departments and made the day-to-day operations much more seamless for us.

Recently, we have even started encouraging the site managers at our production facility to use Hurree, utilising the manual widgets and WooCommerce's inventory datapoints for daily updates. This not only has created unity across Wavey Ice but, ensures that those at head office are always in the loop with the production sites - which can often be an area at risk of blind spots.”

Conclusion

To finish Deb's highlighted that Hurree has become one of their team's most used tools, and they are excited to see the progression of the platform.

“Something we love about Hurree is that although it already meets our needs, they are always happy to take onboard our ideas and it’s constantly improving with fresh updates and new features.”
